INDIVIDUAL ROOM RESERVATIONS:

It is possible to cancel a room reservation free of charge on the day before arrival no later than: 16:00.
If the cancellation is made later than this, or if it is not made at all, 1 night’s room rate will be charged.

Booking confirmation and commitment

The terms of delivery of the service come into effect when the customer has received confirmation of the reservation either verbally or in writing. The booking confirmation contains the booking details, booking terms, and prices. Changes to the reservation must be made in writing.

Event programme and name list

We kindly ask that you send the event’s exact programme and name list with room allocations no later than 1 week before the group’s arrival date with the following information:

  • First names and last names, dates of birth, and home addresses in Finland of the guests staying (for group travel notification);
  • Group leader;
  • Estimated arrival time at the hotel.

Contract transfer

The customer does not have the right to transfer the contract or hand over the rented premises to a third party without the hotel’s consent.

General cancellation conditions

Unless otherwise expressly mutually agreed, cancellations and changes to reservations can be made without costs for the original confirmed number of rooms or persons in the reservation as follows:

  • 8-15 room days
    100% of the booking 14 days before the event, 50% of the booking 10 days before the event, 25% of the booking 7 days before the event, 5% of the booking 3 days before the event;
  • 16–40 room days
    100% of the reservation 28 days before the event, 50% of the reservation 14 days before the event,
    25% of the reservation 10 days before the event, 5% of the reservation 7 days before the event;
  • 41-80 room days
    100% of the reservation 56 days before the event, 50% of the reservation 42 days before the event,
    25% of the reservation 28 days before the event, 5% of the reservation 7 days before the event;

Room day = Number of room days in the accommodation reservation. For example, if there are 15 rooms in the reservation for two nights, there is a total of 30 room days (15 rooms x 2 nights).

About cancellation conditions

The hotel charges the full price in cases where the customer arrives later, or leaves before the agreed time, or does not arrive at all. The hotel is entitled to full compensation for all services and products ordered in advance that cannot be cancelled. This also means subcontracted services. Invoicing takes place according to the confirmed number of people. If the actual amount is greater than the confirmed amount, the customer will be invoiced for the actual amount.

Terms of payment

Groups are always invoiced with a group invoice = 1 invoice. The customer (= the person making the reservation / placing the order) is responsible for all costs, unless otherwise agreed in writing.
The method of payment is a payment card or cash, and, if separately agreed, an invoice. If the payment is made on the spot, we need the credit card number and validity date of the card in advance as security for the reservation. For invoicing, we charge a valid invoicing supplement/invoice. We reserve the right to make changes. If necessary, the hotel can issue a full or partial advance invoice for the reservation. If the agreed full or partial advance invoice is not paid by the due date, the hotel has the right to cancel the reservation.

Changes to orders and reservations

The hotel has the right to cancel or change the reservation due to circumstances beyond the hotel’s control (e.g. strike, lockout, etc.). Damages resulting from them will not be compensated. The hotel can also stop or cancel the event at any time if it interferes with other activities or if it endangers the hotel’s reputation or safety.

Prices

Strömfors Bed & Bistro reserves the right to change prices, if they are based on changes in public fees imposed by legislation or authorities during the future contract period. The customer will be notified of this separately in writing. We reserve the right to change the price even if the reservation changes (dates, duration of the reservation, number of persons, premises, or rooms). Prices do not include commission unless otherwise stated in the confirmation.

Customer’s responsibility

The customer (= the person making the reservation / placing the order) is obliged to protect the rented premises and furniture from damage. The customer is responsible for all damages that their group’s equipment, staff, performers, or meeting participants cause to the property or the movable property of the hotel.
The customer is responsible for the equipment and movable property they bring to the hotel. The customer undertakes to follow the instructions of the hotel staff regarding the use of the house, furniture, and equipment.
The customer is fully responsible for the reservation.

Special arrangements

If the occasion requires special permits, a program, an orchestra, special decorations, or exceptional technical equipment, the customer undertakes to bear the associated costs.

Possible closure and renovation of the hotel

When the hotel agrees to renovate or repair its facilities after signing this contract with the customer, the hotel undertakes to notify the customer in writing within a reasonable period of time. The hotel’s renovation or repair project is not grounds for terminating the contract, unless otherwise agreed between the parties.
